The customer journey

Seven taps, one evening, one phone.

From the code on the fence to the shirt in their hand — every step on the customer's own device, with nothing to download.

It starts with a code somebody can scan from where they are standing.

On a shirt, a fence, a car or a flyer — each one tagged, so you find out which of them actually brought people in.

Command the event

See the whole event from one screen.

Know who is waiting, who is cleared, where your crew is, what needs attention and what still has to go out — without jumping between four systems and a group chat.

  • See the live queue and what is happening right now
  • Spot safety holds and incidents the moment they happen
  • Know which crew are on duty and where they are working
  • See the merch and photos still waiting to reach a customer
  • Pause part of the event without losing riders or their place in line

Safety and event control

Only ready riders reach the track.

Before anyone launches, Gatelyst checks the things that matter — payment, a signed release, guardian rules for minors, and any hold your team has put on that person.

  • A marshal sees CLEAR or HOLD, not a checklist they can skip on a busy night
  • Hold one rider, one lane, or every launch when something needs looking at
  • Start again when it is sorted
  • Every safety decision records who made it and why
  • People only get the controls their job needs

Safety review — asked to wait by the gate marshal

The kit check on the marshal's tablet is theirs. What Gatelyst decides is the clearance beside it — paid, signed, guardian, and any hold your team has placed. Holding a launch cancels nothing: riders keep their place in line and no money moves. Gatelyst coordinates the crew you already have on site, and calling for outside help is still a person with a phone.

Safety and event control

Not cleared is a refusal, not a warning.

Payment, signed release, media grant and — where the event requires it — a guardian. Four gates the system computes, and a marshal cannot tick past.

  • Marshals, cashiers, media staff and managers each see only what they need
  • A shift is a gate: off duty means the till and the queue refuse, not that a badge turns grey
  • One phone handed to the next marshal ends one session and starts another, so the night stays attributable
  • Where a mistake has to be undone it is a named correction with a reason — there is deliberately no override button

Crew

Built for real event conditions

Keep operating when the venue Wi-Fi does not.

Bad reception should not wipe out the queue or send your team back to square one with a clipboard. Gatelyst keeps the event organised, saves the work that is safe to do offline, and catches up when the signal returns.

  • Stop the track and start again with everyone still in the same place in line
  • Check-in, the queue and cash keep working when the signal drops
  • Offline actions are saved and synced when service comes back
  • Never guess whether a card payment went through
  • If a payment is uncertain, the rider stays on hold until Gatelyst confirms it with the card provider

1 payment to verify

Rider stays on hold until we confirm it. Do not take it again.

Card payments need the network, so Gatelyst never pretends one worked. If the answer never came back, that rider is held until the card provider is asked — which is better than charging somebody twice or letting somebody ride for free.

Event commerce

The shelf changes with the choice they just made.

Pick a driver and the merchandise follows them. Stock is counted per variant at the location it actually sits in.

  • Driver, team and event merchandise on separate merchandising rules
  • Sold out is enforced by the database, not hidden by the browser
  • The post-ride upsell arrives thirty seconds after they get out of the car

A single conditional update that only succeeds when the stock is genuinely there. Two people buying the last one at the same moment produces one sale and one clean refusal.

Customer relationships

The relationship survives the event.

A ticket expires. A customer does not. Gatelyst remembers the person — every visit, every ride, what they signed, what they bought and exactly what they agreed to hear from you.

  • One person, even when they book by email in March and turn up with a phone number in June
  • Recognised at the gate by phone, email, order code or collector pass
  • Their photographs stay reachable and stay theirs
  • What they agreed to be contacted about is recorded, with the date — never assumed

Coming back does not grant permission to market to somebody. Those are separate answers, asked once and recorded — which is why this record can say returning guest and not granted at the same time.

After the event

The sale does not have to end when the ride does.

Most operators sell the night once. Everyone drives home, and the next event starts from nothing — same posters, same spend, same strangers. Turn one great night into the next visit instead.

☐ Email updates

☐ Text updates

The people who were there are the warmest audience you will ever have. Gatelyst asks them once, at the release, while they are already reading and signing something — and then only writes to the ones who said yes.

01

Stay connected

Ask once, on the release they are already signing.

  • · Email and text are separate choices
  • · Both unchecked by default
  • · Signing works either way

02

Bring them back

Build an audience from people who actually chose to hear from you.

  • · Opt out once and they are gone from future sends
  • · Checked again for each person as it sends
  • · You see who is excluded before you press send

03

Sell after the ride

Membership, a reason to come back, and a wallpaper from their own photograph.

  • · You set the price
  • · Members can get it cheaper or free
  • · Join the Team never signs anyone up for marketing

Three relationships, one document engine.

Our agreement with you, your agreement with your client, and your release with every participant.

  • Templates frozen at signature — what was agreed cannot be changed later
  • Electronically executed, sequence-numbered, hashed and retrievable

Content distribution

Every session becomes content you can publish.

A ride becomes the customer's copy and a set of promotional cuts. Approved content publishes to your own YouTube channel.

Release missing · publication blocked

Nothing public leaves without a current executed release from the person in it. The gate is server-side and has no bypass flag.

Public display

A screen that runs the floor.

Who is up, who is next, how long, and a code the hall can scan from twenty feet. When a session finishes, it takes the screen over.

Infrastructure

Your accounts, ours, or both.

Your money, your choice. Connect Square. Connect Stripe. Let Gatelyst manage your Stripe setup. Or, for eligible accounts, use Gatelyst Managed Payments with Gatelyst as merchant of record.

  • Connect your own Square or Stripe — your merchant account, your money, available today
  • Or let Gatelyst manage the Stripe setup: still your connected business, still your merchant account
  • No merchant account at all? For eligible accounts, Gatelyst can take the payment as merchant of record and settle your contracted share — by agreement, not by default
  • Whichever you choose, checkout and the receipt say who is taking the payment

YOUR ACCOUNTS

Money and audience stay yours.

  • PaymentsYour Square or Stripe. Sales settle to you.
  • YouTubeYour channel, connected by OAuth.
  • Repurpose.ioYour account. Recommended, optional.

GATELYST MANAGED

One bill, no vendor sprawl.

  • PaymentsStripe Connect. Still your merchant account.
  • SMSNumbers, delivery, segments.
  • EmailTransactional sending.
  • VoiceAnnouncements and call-ups.
  • StoragePhotos and video.
  • MediaProcessing and delivery.

Hybrid is the normal answer. Choose per service, not once for everything. Payments appear on both sides because both are real: bring your own Square or Stripe, or let us set up a Stripe account for you — either way the merchant of record is you, and Gatelyst never holds your money.

Straight answers

What we will not claim.

A sales page that overstates gets found out in week two of an implementation. These are the limits, stated up front.

  • Gatelyst publishes to your YouTube channel. It does not natively post to every social network.
  • Downstream distribution runs in your own accounts, and we never hold your social passwords.
  • Publishing defaults to unlisted and to requiring approval.
  • We report what we published — not view counts we never receive.
  • Session telemetry is captured on consumer hardware. It is a souvenir, not race timing.
  • In three of the four payment options you are the merchant of record and the money is yours. Gatelyst is not a bank and does not hold it.
  • The fourth is a separate service with eligibility and an agreement behind it: Gatelyst takes the payment as merchant of record and settles your share. It applies to nobody who has not agreed to it.
  • Whichever applies, the checkout and the receipt say who is taking the payment — we do not leave a customer guessing.
